Safeguarding Officer

Each Club must appoint a Safeguarding Officer who should be the main point of contact and make it easy for everyone to know who to go to if they need:

  • support
  • advice
  • training
  • to report a concern

Each Safeguarding Officer must be officially registered with Scottish Golf and have completed an induction pack. For more information on this please contact safeguarding@scottishgolf.org

Safeguarding Officer Details

Contact details and the role of the Safeguarding Officer should be widely and easily accessible and understood by the clubs’ volunteers/staff, children and parents/carers. During periods when the Safeguarding Officer is unavailable it must be clear who the designated deputy for safeguarding concerns are in their absence.

Such details can be shared on induction packs, newsletters, e-bulletins, website, social media posts and consent forms.

Safeguarding Officer: PVG

The Safeguarding Officer role involves regulated work and therefore anyone undertaking this position is required to become a member of the PVG Scheme.

Safeguarding Officer: Training

The Child Wellbeing & Protection in Sport: Officer Training (CWPO) has been developed to support the Safeguarding Officer implement the practices and procedures to keep children and young people safe at their club. Safeguarding Officers must complete and update their training every three years to ensure they are up to date with the latest guidance and legislation around safeguarding.

Workforce Details:

If a role within a club involves working with children, the club has a legal and moral responsibility to ensure that the person appointed is suitable and has undertake any mandatory training or qualifications required for the role.

It is recommended that each Safeguarding Officer within a club keeps a record of when an individual has completed a PVG Application and what training or qualifications they have undertaken with a note of renewal dates where appropriate.

Safeguarding Policy

Each club must have a Safeguarding Policy which has been adopted at the highest level, such as the club’s management committee. The policy should be clearly communicated to the children, their parents/carers, staff and volunteers. It is recommended that you issue a clear statement of intent so that everyone understands the club’s position on promoting the wellbeing of the children involved in its activities.

Code of Conduct: Juniors

A code of conduct for juniors is used to make clear:

  • what behaviour is acceptable and unacceptable
  • the standards of behaviour expected when being at the club
  • the basis for addressing any challenging behaviour

Children understand codes of conduct best when they are involved in drawing them up and have the opportunity to discuss regularly what is acceptable and unacceptable behaviour. It can also be very beneficial to ask children to agree what the consequences of breaking these rules should be.

Code of Conduct: Coaches & Volunteers

A code of conduct for working with children is used to make clear:

  • what behaviour is acceptable and unacceptable
  • the standards of practise expected when working on behalf of the club
  • the basis for challenging and improving practise

All Coaches & Volunteers working with children on behalf of the club should sign up to the club’s code of conduct.

Consent Form

Each club must ensure they collect the appropriate consent, medical information and emergency contact details at the start of each season.

Responding to Concerns Procedure

A set procedure for responding to a safeguarding concern about a child makes sure that everyone is clear on what action to take in the event of a concern being raised. The procedure should contain contact details of key personnel within the club and statutory authorities.

Scottish Golf Safeguarding Team

All safeguarding concerns should be shared with the Scottish Golf Lead Safeguarding Officer who can provide advice, support and guidance in relation to any concerns.

Help With Managing Players

The Manage Players section enables you to upload your players into the system where you will be able to assign them into groups, track their progress, monitor attendance and generate certificates.

To use the manual option please enter the players name, gender and the current Level of the programme they are in. You can also assign them into a group e.g. the ‘P1-3 group’ or ‘Sunday morning’ group, if all your players are in the same group you can leave this section blank. Once finished tap ‘Add To Payer List’ and the player will appear in your ‘Players List’ where you can edit their details and generate certificates.

For bulk uploads please use the CSV file called ‘Player Data’. Simply enter the player details into the spreadsheet and upload the file in the ‘Upload Player Data’ section. After this the players will appear in your ‘Players List’ where you can edit their details and generate certificates.

In the ‘Player List’ section you can use the pull-down menu to select a number of functions which include recording attendance and downloading or printing registers.

Help With Record Event Attendance

To record attendance, check the box next to each player’s name, for players who did not attend please leave blank.

Once you have finished marking the attendance, please tap the ‘Submit Attendance’ button and the information will be updated in your Player List.
